Visibility and public links

Use visibility to keep a working document within your organization or send a read-only link outside it.

Public links are available on every plan. Private requires the Team plan or above. Changing visibility or managing links requires docs:write.

Choose who can read a document

  1. Open the document and select Share document in the toolbar.
  2. In Share, select Private, Organization or Public. The change saves as soon as you select it.
VisibilityWho can open it directly
PrivateThe document's creator and members with org:manage, including the organization owner. Both need docs:read.
OrganizationMembers of your organization with docs:read.
PublicMembers with docs:read, plus anyone with a valid public link.

Private doesn't let you invite selected readers. It also doesn't hide the document from members with org:manage.

Private content can still appear inside another publicly shared diagram that references the document. Check those references before sharing a diagram.

If the document is in a public space, Organization still allows people with the space link to read it. Choose Private to prevent people from opening it directly through the space link.

  1. In Share, select Public.
  2. Select Create and copy link. This creates a new link and copies it to your clipboard.
  3. Paste the link where the reader needs it. They can open it without an ArchDocs account, but can't edit the document through it.

Links created here don't expire. You can create several links for the same document and revoke them separately. Use Copy link beside an existing URL to copy it again without creating another.

The same link can also supply an embed.

Revoke link beside a URL disables that link. Other links to the document keep working.

Changing visibility to Organization or Private disables all of the document's public links. Returning to Public makes unrevoked links work again. Revoke a link if you want it to stay disabled when you make the document public later.

These changes don't recall copies someone has already saved. Previously loaded views and cached responses may remain visible. A document in a public space also remains directly readable through the space link unless you make it Private or unpublish the space.
