Schedule an interview

Prepare a session before sending the candidate a link. For a backend hire at Lanefold, a fictional freight company, choose the Dispatch Service kit and the colleagues who'll conduct the interview.

Creating and scheduling requires interviews:run; opening the interview requires interviews:read. The member pickers also require members:read. Practice interviews are available on every plan; creating outside-candidate interviews requires Enterprise or an active Interviews add-on. Buy or manage the Interviews add-on under Organization Settings > Billing with billing:manage.

Create the session

  1. Open Interviews and select New interview.
  2. Under Who's the candidate?, choose A teammate (practice) or A candidate from outside your organization.
  3. For practice, select a Practice candidate. The picker excludes you and selected panelists. For an outside candidate, fill in Candidate name and Candidate email.
  4. Choose a published Interview kit and check Interview name. Custom interview is also available for a session without a reusable kit.
  5. Set Mode to Live or Async. The kit must support the selected mode; the dialog enables Async only for a published kit that supports it. For async sessions, set Available from and Available until if you want to restrict when the candidate can start.
  6. Check Schedule and Timezone. Add a Meeting URL if you'll use a separate call, and choose colleagues under Panel.
  7. Select Create interview.

You're added as the lead interviewer. Colleagues selected in the dialog are added as interviewers. The session keeps a copy of the kit, so editing the kit later won't change these prompts or rating anchors.

Creating the session leaves it in draft, even if you entered a time in the dialog. Schedule it in the next step before sending the invitation.

Schedule and invite

  1. On the setup page, check Schedule and Timezone again.
  2. Select Send the candidate invitation after scheduling if you want an email sent now. The candidate needs an email address for this option.
  3. Select Schedule. For a later time change, use Reschedule.

For an async session, you can edit Available from and Available until on this page, then select Save availability. A live interviewer starts a live session; an async candidate starts their session by joining within its availability window.

Practice invitations go to the selected teammate's account email. The teammate must sign in with that account to use the link. The practice quota is checked when you create the interview, separately from outside-candidate usage.

Adjust the panel

Under Panel, select Choose a member, choose Interviewer, Shadow or Observer, then select Add. Interviewers with interviews:run can control the session. Shadows with that permission can score but can't run it; observers can't score.

Under Candidate link, select Create candidate link and then Copy candidate link. Copy it before leaving or refreshing the page: the full URL can't be retrieved later. Send invitation emails a newly generated candidate link instead. Creating a candidate link revokes earlier candidate links for that session; invitation and reminder links coexist until access is rotated or revoked.

Use Create observer link and Copy observer link for a read-only session view. A practice observer must sign in as a member of the organization. This link doesn't give access to panel notes or scores.

Select Revoke beside a candidate link to revoke all candidate links for that session. Revoking an observer link affects only that observer link. Cancel interview cancels the session and revokes its access links.

Tell the candidate to use a computer with a viewport at least 768px wide. See the candidate experience for consent and data controls, or run an interview for the panel's next steps.
